Who we are

Porchlight Fiscal LLC (“Porchlight,” “we,” “us”) provides financial reporting software and services to community associations and their management companies. This policy covers this website and the Porchlight client portal (together, the “Services”). Information we collect

When you visit this website

Our web server records standard technical information for each request: IP address, the page requested, the date and time, and your browser type. We use it to keep the site running and secure, and we keep it for up to 90 days. This website does not use advertising or tracking cookies.

If you use the contact form, we receive the details you enter — your name, email address, and, if you add them, your phone number, your role, your community or company, and your message. The form sends them to us as an email so we can reply; the form itself keeps only a record of when a message arrived and the IP address it came from, not what it said. If you email us directly, we keep your message and contact details the same way. We keep this correspondence for as long as we need it to respond and to keep a record of our conversation with you.

When you use the client portal

• Account information: your name, username, role (for example manager or board member), the company you work for, and an email address if one is provided. Passwords are stored only in a one-way protected form; we cannot read them.
• Association records: the financial statements, delinquency reports, budgets, reserve studies, and related documents that a manager imports for an association, and the reports and notes created from them. These records belong to the association. In the reports and screens we produce, delinquent accounts are identified by account number, not by homeowner name.
• Usage and security records: sign-in times, pages viewed, and actions taken (such as saving an explanation), with the IP address and device type. We use these to secure accounts, support users, and show the association how the portal is used. We keep them for three years.
• Preferences: settings such as light or dark display, stored in your browser.

Mobile numbers and text messages

If you agree to receive text alerts (see Text message alerts below), we collect your mobile phone number and a record of your consent: when you gave it, how, and who added the number. We use your number only to send the alerts you agreed to and to honor STOP and HELP requests.

How we use information

• To provide the Services: importing and analyzing association records, producing reports and dashboards, and showing each person only what their role allows.
• To send service messages: sign-in and account notices by email, and text alerts to people who opted in.
• To keep the Services secure: detecting unusual sign-in activity, protecting accounts, and investigating misuse.
• To support users and to improve the Services.
• To meet legal obligations.

We do not sell personal information, and we do not use it for advertising.

Who we share information with

• Within your association: portal users see association records according to their role. A board member sees their own association only.
• Service providers that run parts of the Services on our behalf, under contracts that limit their use of the information: Amazon Web Services (hosting, backups, email delivery, and text message delivery) and Google Workspace (our business email).
• When required by law, or to protect the rights, safety, or property of Porchlight, our clients, or others.
• In a business transfer, such as a merger or sale of assets, with notice to affected associations.

Cookies and browser storage

The portal uses one essential cookie to keep you signed in, and your browser’s storage for display preferences. We do not use advertising, analytics, or cross-site tracking cookies.

How we protect information

All connections to the Services are encrypted (HTTPS). Access is limited by role, passwords are stored in protected form, repeated failed sign-ins lock an account, and records are backed up. No system is perfectly secure; if we learn of a breach affecting your information, we will notify the affected association and individuals as the law requires.

How long we keep information

We keep association records for as long as the association uses the Services. When an association leaves, it can receive a copy of its records, and we delete them after a 30-day recovery period unless the law requires us to keep them longer; copies in our backups are removed as those backups are replaced on their normal schedule. Usage and security records are kept for three years; website server logs for up to 90 days. You can withdraw text alert consent at any time, and we will stop sending alerts and keep only the record of your opt-out.

Your choices and rights

• You can ask us to show you, correct, or delete your personal information by emailing inquiries@porchlightfiscal.com. Requests about an association’s records may need the association’s approval, because those records belong to the association.
• You can stop text alerts at any time by replying STOP, or by asking your manager or us to remove your number.
• California residents may have additional rights under state law. We will honor applicable requests and will not treat you differently for making one.

Text message alerts

Associations can choose to send board members a short text alert with a link to their Action Items. These alerts are sent only to people who have agreed to receive them. Message frequency is set by the association’s manager and is typically one to four messages per month. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to text alerts is not a condition of using the Services, and wireless carriers are not liable for delayed or undelivered messages.

Children

The Services are for community association boards, managers, and staff. They are not directed to children under 16, and we do not knowingly collect information from them.

Changes to this policy

We will post any changes on this page with a new effective date. If a change materially affects how we use personal information, we will notify the associations we serve before it takes effect.
